TıklaHesap User Manual
TıklaHesap is a cloud-based accounting and cash-flow management software designed with a Multi-Tenant SaaS architecture. It enables businesses to securely manage their daily cash transactions, product inventory, employee salaries/commissions, supplier debts, and sales records in complete isolation.
🏢 1. Getting Started & Onboarding
1.1 Creating a New Account (Register)
- Navigate to the
/registerpage in your browser. - Fill out the registration form: First Name, Last Name, Phone Number (selecting country code), Shop Name, Email, and Password.
- Ensure your password is at least 12 characters long and contains uppercase letters, lowercase letters, numbers, and special characters.
- Click the Register (Kaydol) button. The system will send a 6-digit Verification Code (OTP) to the entered email address.
- Enter the code in the verification field to activate your account and complete the registration.
- Note: Unverified registration entries are automatically deleted after 24 hours to keep the system clean.
1.2 Logging In
- Go to the
/loginpage. - Enter your registered email address and password, then click the Log In (Giriş Yap) button.
📊 2. Key Modules & Features
2.1 Dashboard
- Displays a real-time summary of your store's daily, weekly, and monthly financial performance.
- Includes dynamic charts for sales, expenses, net profits, and the total number of active tasks.
2.2 Cash Registers (Kasadaki Paralar)
- Monitors cash flows across different cash registers and bank accounts.
- Deposits & Withdrawals (Koydum / Aldım): Record income or outcome transactions by specifying the amount, currency (TRY, USD, EUR, etc.), transaction date, and an explanatory note.
2.3 Products & Inventory (Ürünler & Envanter)
- Product Catalog: Manage products by adding product name, category, supplier company, cost price, selling price, and stock quantity.
- Stock Alert Threshold (Stok Eşiği): Set a critical stock limit for each product. The system automatically highlights products in red when they fall below this threshold.
2.4 Task Manager (Görevler)
- Plan and organize store tasks.
- Create tasks with a title, description, and due date. Mark finished items as "Completed" to track operations.
2.5 Salaries & Staff Debts (Personel Yönetimi)
- Fixed Salary Setup: Define the monthly fixed salary for each staff member.
- Commissions & Primes: The system automatically calculates seller commissions based on daily sales values and settings.
- Staff Advances & Debts: Track cash advances given to employees, which are automatically offset against their total monthly balance.
2.6 Shop Debts (Dükkanın Borçları)
- Manage what your business owes to suppliers or general utilities. Keep track of outstanding balances and partial payments.
2.7 Income & Expenses (Transactions log)
- A comprehensive chronological history of all cash movements in the store. Features advanced date filtering and category searches.
2.8 Suppliers & Payments (Firmalar & Ödemeler)
- Add supplier accounts.
- Track goods received (Gelen) and payments made (Ödeme) to balance current supplier accounts.
2.9 Sales Register (Satış Defteri)
- The core module where daily store sales are documented.
- Enter sale amount, payment method (Cash, Card, etc.), the salesperson, and products sold.
- The system automatically computes and saves the seller's commission.
2.10 General Report (Genel Rapor)
- The Admin can export and download the General Report (Genel Rapor), which aggregates all financial entries, net gains, expenses, active stock values, and cash register levels into a single report for quick overview of store operations.
⚙️ 3. Settings & Administration
3.1 Role-Based Access Control (RBAC)
TıklaHesap enforces strict security levels using three defined roles:
- Admin: The account owner. Can modify configurations, reset or restore the database, invite users, manage all tables, and define custom page visibility permissions for the Manager and Viewer roles as desired.
- Manager: Can perform daily entry updates, log sales, and manage inventory, but cannot access database tools or administrative system settings.
- Viewer: Has read-only permissions. Can view reports and charts, but cannot add, edit, or delete any data.
3.2 Page Visibility Controls
- Administrators can dynamically configure which pages on the sidebar are visible to each user role. The Admin can freely enable or disable pages for Managers or Viewers based on business requirements.
3.3 Custom Telegram Bot Integration
Each store can link its own Telegram bot to receive daily financial reports and task alerts:
- Open Telegram and create a new bot using
@BotFatherto get a Bot Token. - Add your bot to a group (make it an administrator) or fetch your personal Chat ID using
@userinfobot. - Go to Settings ➡️ Notification Settings (Bildirim Ayarları) on TıklaHesap.
- Toggle the Telegram Bot channel to active.
- Paste your custom Bot Token and Chat ID.
- Click Test Et (Test connection) to verify, then save the settings.
3.4 Contact & Technical Support
- Through the ✉️ İletişim & Teknik Destek section in the app, the Admin or authorized users can send direct support emails to the system developer to submit support requests, feedback, or report bugs for fast technical resolution.
💾 4. Database, Backup & Recovery
4.1 Automatic Daily Backup (Cron Job)
- The system automatically backs up your store data daily at 23:59 (GMT+3 / Turkey Time).
- The backup file (.json.gz format) is compressed, encrypted, and emailed directly to the store administrator's email, and archived on the server.
- The system retains the last 15 backups per tenant, automatically deleting the oldest when a new one is created.
4.2 Manual Backups
- Request an instant backup anytime by navigating to the Database and Reset (Veritabanı ve reset) page and clicking Şimdi Yedek Al ve Gönder.
4.3 Database Restoration (Restore)
- On the Veritabanı ve reset page, select a backup file from the list.
- Enter your Admin Password to authorize the operation.
- Click Yedeği Yükle (Restore Backup).
- Critical Security Notice: Restorations are completely isolated. They only clean and overwrite the active tenant's rows, guaranteeing zero impact on other tenants sharing the system.
